Administrative Support Service

The main activities of the section are to ensure the Revenues Service receives a high quality administration support service, through the following activities:

The team operates a scanning and indexing function for incoming post. 2006-2007 financial year will focus on ensuring all documents are scanned and indexed accurately within 24 hours. This will support Revenues and Benefits in achieving our Best Value Performance Indicators
Operation of scanning and indexing conforms to the Department for Work and Pensions standards for document imaging
Documents are securely destroyed in line with Revenue's destruction policy
The operation of an out going postal function involving:
- Collection
- Franking; and
- The operation of an inserting machine, which folds, inserts, and envelopes documents
Supporting the sections, in Revenues and Benefits, in the end of year billing cycle whether, out source or in-house process
Posting mail outs (via the inserting machine) for other departments, on an ad-hoc basis
Supports the end of year revenues process for sundry creditors
Responsible for ordering goods and services into the department
Processing invoices. As part of our best value performance indicator, we are required to process invoices within 30 days of receipt. There is new legislation in place giving suppliers the legal right to claim interest and recovery costs on debts outstanding after 30 days
Working with the team to ensure that the risk assessments are carried out regularly
Responsible for all facilities management of the building ensuring the workplace and public areas are compliant with health and safety, the Disabled Discrimination Act and all associated legislation
